How can I import a spreadsheet?

You may import a claim data spreadsheet to view within the HIPAA Claim Master application. The import will be created based on the pre-set configurations (see Configuring Spreadsheet Options) and adds the data required to complete the import.

 

Claim File Data:
Open the file and add the correct data as per the field data type. The "Header" and "Detail" records have one common "Claim No" field to establish the relationship between both data sets. Below are the database tables that store the header and detail data. If you click on "Create Empty File" in the "Spread Sheet Import Setup" tab, you can save a template to the file explorer. Excel files containing claim information and details should be opened while importing.
 

To begin importing a spreadsheet, follow the steps below:

 

1.Go to SpreadSheet(Import/Export) > Import Method2 > Spread Sheet Import in the main menu window.

The following window will open:

2.Make your configuration selections from the checkboxes, then click on "Browse" to look for the spreadsheet you want to import. Select whether it is a Live Database or a Test Database, then once everything is set, click on the "Go," button to begin the import. If the import is successful, you will see a pop-up window confirming the process is complete:

3.The "Import claims from excel" window will display a summarize status of the import operation.

4.A log entry will be created if this was established during the application configuration (see Accessing Daily File Log). You can search log entry for the process by the date of import.

How can I setup the data for import?

See the different settings for the data import configuration and the descriptions:

 

Import Excel Data

As mentioned in the steps for importing a spreadsheet, the "Select File" box allows you to search for the file you want to import after clicking the "Browse" button. There are also three settings you can set up before importing a spreadsheet:

 

Has Single Sheet Data

Checking this box imports a single sheet Excel file, that is, a spreadsheet with both the header and detail data in a single sheet.

Once you click on "Go," you will be provided the record status for both header and detail records:

If left unchecked, the Excel file will be uploaded with multiple sheets.

Note: If the checkbox is not selected and a multiple sheet spreadsheet is uploaded, you will see an error pop-up message. This will also create an error log with further details.

Validate Data Before Save

Checking this box will have the application validate the file before performing the process. It will also notify you whether the file is valid or not so you can review it and correct any errors. Below, we will show an example of what happens if there are errors in a file.

If we try to load and process this file through the "Import claims from excel" window and check the "Validate Data Before Save", an error message will show in the "Excel import status" window.

The details of the error are detailed under the "ErrorMessage" column in the "Excel import status" window.

If you do check the "Validate Data Before Save" box before processing the file, the import status summary will show the process was not successful.

Run with Compliance Check

Checking this box will run the import sheet Excel file through a compliance check with searches for data inconsistencies or errors.

 

Import Status Information

Once you process an import, details regarding the import will show below the Import Excel Data box, including:

oClaims — This will show the number of claims that will be processed.

oFail Claims — This will show the number of claims that fail to be processed.

oTotal Amount — This will show the dollar amount imported.

 

This section will show after clicking the "Go" button to process a file.

 

Live Database / Test Database

There are two options for the type of database to import: live and test. Select the type of database you are loading files to.
